In Thread, you can add incoming and outgoing phone messages, and assign them to a team member and a particular file. Assigned phone messages will appear on a user’s dashboard and they can be edited or deleted at any time.
Adding incoming and outgoing phone messages on Thread allows you to keep track of missed calls, take note of any relevant information from the call, and pass on information to a team member.
1. Click the quick create button in the bottom right corner.
2. Click Phone message.
3. A pop-up window will appear for you to fill out any relevant information (all mandatory fields are marked with *).
4. You can select whether to send an email notifying a team member of the phone message by toggling yes or no under the Send Email section.
5. Click Save.
The time and date fields will automatically be populated with the current date and time, it is not possible to change these fields.
Once you have dealt with a phone message, you can change its status in the Phone Messages tab.
1. Click on the Phone Messages tab in the left pane.
2. Select the phone message you want to change the status of. You can refine your search to Not Taken messages by using the filters provided.
3. Click Edit in the grey panel.
4.A pop-up window will appear where you can change the status of the phone message. Any status changes made to a phone message will be recorded in its Log History section, including the time and date the change was made.
5. You can also add relevant notes or updated information into the Phone Messages box provided.
6. If you want to send another email about the phone message, or a follow-up reminder, toggle the Send Email button to Yes again, as it automatically toggles to No after the initial creation.
7. Click Save.
If you are assigned a phone message by another user, you will receive a notification in the Notifications tab in the top pane.
You can view all messages in the Phone Messages section of your Thread.
1. Click on the Phone Messages tab in the left pane.
2. Filter your search by adding in a date range and by using the drop-down menus provided.
NOTE: You can view recent phone messages on Thread through the Recent Calls element on your dashboard.
If you do not have the Recent Calls element on your dashboard, you can configure your dashboard in Personal Settings to include it.
If you would like to delete a phone message due to an error or otherwise, you can do so at any time.
Note: If you have dealt with a phone message you can change the status to Dealt with and it will still be accessible on your Thread page. Only delete a phone message if you no longer want it to appear on Thread.
1. Click on the Phone Messages tab in the left pane.
2. Select the phone message you want to delete and click Delete in the grey panel.
3. A confirmation pop-up window will appear. Select Confirm if you want to delete the message.
