Internal Email Subject

With Thread, you can add an internal email subject to any email in the Emails tab of a matter. All emails can have an internal email subject, whether in Inbox, Sent items or Folders. Internal email subjects will always show in green font for easy identification. Internal email subjects are only visible to your firm users within Thread.

There is a 250-character limit on Internal email subjects. 

Adding an internal email subject while composing an email 

  1. Open any matter in Thread.   
  2. Select the Emails tab on the top pane of the matter.  

  1. To send an email from the matter, click New Message.

  1. When your email has been sent, you will then see the label on your sent email in the Sent items folder

The original email subject will also be visible underneath the label (unless you have selected to view Internal Email Subject only).

Internal email subject will only show on emails you manually add an internal email subject to. If replying or forwarding a new email, the usual original email subject will show, (unless internal email subject was added to the email while composing). 

Adding an Internal Email Subject to an existing email 

  1. Open any matter in Thread.   

  1. Select the Emails tab on the top pane of the matter. 

  1. Select the email you wish to add a label to. 

  1. Hover over the email itself and the internal email subject tag will appear for selection.

  1. Add your preferred label. 

 

  1. The label will now show on the email.

Adding an Internal Email Subject with Thread for Email Outlook Add-in

When attaching an email to a matter via the Thread for Email Outlook Addin, user can add an Internal Email Subject prior to adding it to the matter. 

Open Outlook, and search for the email you wish to add to a matter in Thread. 

Select the email and click on
Thread for Email logo to open the add-in.

  1. Sign in and search for the matter you wish to add the email to. 

 

  1. Add your preferred Internal email subject

  1. The email will show in the matter in Thread with your chosen Internal email subject

Notes
It will not be possible to add an Internal email subject while drafting emails in Outlook, only when adding the already sent or received email to the matter.

Editing an Internal Email Subject 

An Internal Email Subject can be edited at any stage in the Emails tab, the Bundle Editor, matter History, and more.  

NotesWhen you create a task for an email, the email link will only show the original email subject. When you click on the email to preview it, you will be able to see also the internal email subject.  


EMAILS: 

To edit the email subject directly on the email in the Emails tab, click on the label icon and edit the subject in the pop-up:

InfoThe email subject can be amended in all email folders.

Should you need to remove an Internal email subject, simply empty the Internal email subject field and Save

BUNDLES: 

To edit the email subject directly on a bundle in the Bundles tab: 

Double click directly on the email added to Sections, and rename as required.

Renaming the email in the bundle will also rename the internal email subject of that email throughout the matter

 

MATTER HISTORY

To edit the email subject directly in matter History

  1. Click on the Email icon to preview the email.

  1. Click on the Internal email subject label Picturein the email preview.

  1. Edit the Internal email subject as required.

The Internal email subject will now be amended throughout the matter

Viewing Emails by Internal Email Subject 

  1. Open any matter in Thread.   

  1. Select the Emails tab on the top pane of the matter. 

  1. Select the Internal Email Subject tag Picturein the top right corner.  

  1. Select Internal email subject from the drop-down menu.

  1. Emails with existing internal email subjects will now show the internal subject in the email list. 


NotesWhen view is changed to Internal Email Subject and an email does not have an internal email subject added, it will simply show the Original email subject instead. 
NotesThis is a per user setting, so your choice only applies to you. Choosing Internal email subject will also apply to how you will see the email in the matter History. 


Viewing Emails by Original Email Subject 

  1. Open any matter in Thread.   

  1. Select the Emails tab on the top pane of the matter. 

  1. Select the Internal Email Subject tag Picturein the top right corner.  

  1. Select Original email subject from the drop-down menu.

  1. Emails will show only with the original email subject.

Viewing both Original and Internal Email Subjects 

  1. Open any matter in Thread.   

  1. Select the Emails tab on the top pane of the matter. 

  1. Select the Internal Email Subject tag Picturein the top right corner.  

  1. Select Both from the drop-down menu.

  1. Emails will show with both Internal and Original Email Subject. 


Notes
This is a per user setting, so your choice only applies to you. When you have selected to view ‘Both’, in the matter History emails will show for you with internal email subject only. 

 
Viewing Internal Email Subjects in Documents

If you moved any emails or email attachments to the Documents tab of the matter, you can view both Original and the Internal email subject when clicking on the Source icon to preview the email.  




Alert
Internal email subject is NOT the same as Document name when you moved the email to Documents tab. When an email has been moved to Documents tab, a copy of the email is created as a document in your Sharepoint, so renaming it in Documents tab only renames it there. Internal email subject will remain separately on that email in the Emails tab.

Viewing Internal Email Subjects in Matter History 

  1. Open any matter in Thread.   

  1. Select the Matter History icon Picture, Picture in the top right corner of the matter.

  1. Matter History will only show the internal email subject if user has their view in the Emails tab selected as Internal email subject or Both.

If the Original email subject is the users’ selected view in the Emails tab, the original email subject will show instead.

Matter History will also show the original email subject if there is no internal subject title on the email.  

 

You will still see both Internal and Original email subject in the email preview window.

Viewing Internal Email Subject in Bundles 

When creating a bundle, user can choose which email title to show, regardless of the subject view in the matter. If choosing Internal email subject for the bundle, the internal title will show e.g. 'Email to Insurance Company re RTA’. If the email has no internal title, it will show the same as it would when an email is added to a bundle normally i.e. ‘Email: Sender To Recipient – Original Email Subject’.  

  1. Open any matter in Thread in which you want to create/edit a Bundle. 

  1. Select Internal email subject from the drop-down menu of Email subject type.

  1. The Internal Email Subject will show instead of the original email subject, where existing.

Notes
If user has not yet selected the Email subject type in Bundle, it will show by default the user's selection in the Emails tab of the matter (i.e. Internal email subject, Original email subject; if Both selected it will show internal). If user selects an Email subject type in bundle, it will remember their choice, separate to the matter's Emails tab for that bundle.
